Behind The Screens: Building An Automation For Pay At Scale

Navigating the intricacies of finance in any business can be a daunting task, especially when it comes to managing the timely and accurate payment of contractors. In my company, this challenge was magnified by the sheer volume of contractors—over 300 in total—and the manual process that was in place to send out their pay details each week.

The existing method was painstaking and time-consuming: creating a PDF with individual pay details and then manually attaching and sending each one via email to every contractor. Recognizing the inefficiency of this process became a pivotal moment for me, especially when I temporarily took over the responsibilities of a finance department member who was out of town.

The finance department already maintained a Google Sheet with all the contractors' names and corresponding pay details, which became the foundation of my automation project.

I developed a script that dynamically parsed through the Google Sheet each week, identifying the correct pay details for each contractor. The script then automatically generated a PDF for each contractor's pay information and crafted personalized emails, attaching the relevant PDF to each. This automated system ensured that every contractor received their specific pay details directly in their inbox, significantly reducing the potential for errors and the hours of manual work previously required.
